The Role

Our role will give you a chance to build and maintain strong working relationships between all parties including Recruiters, Hiring Managers, and other stakeholders. Ready for a challenge? We would like to talk with you!

As a Recruitment Administration Specialist, you'll play a crucial part in our Talent Acquisition process, ensuring smooth and efficient operations at every step. Your responsibilities will focus on managing candidate databases, scheduling interviews, coordinating communication and facilitating the onboarding process. You'll focus on maintaining candidate records, tracking progress, and providing administrative support to the recruitment team.

Key Accountabilities

What you’ll be doing:

  • Ownership of the group mailbox when applicable.
  • Ensures data integrity, accuracy, and SLA compliance.

  • Ensures adherence to Operation Manuals and process documentation.

  • Responds to escalation questions and provides support as needed.

  • Conducts quality assurance audits for the pre-hiring process.

  • Acts as final checking mechanism for the RPO process.

  • Coordinates ad hoc projects.

  • SME with full knowledge of the operational process.

  • Coordinates and facilitates interview scheduling; escorts candidates during in-person interviews.

  • Conducts I-9 verifications as part of onboarding.

  • Generates offer letters and welcome communications for new hires.

  • Compiles new hire paperwork weekly.

  • Assists with pre-hire activities for the contingent hiring program.

Skills & Experience

You’ll need to demonstrate:

  • Strong experience supporting recruiting administrative activities in fast-paced environments.

  • Strong experience in the recruiting lifecycle process and the onboarding process.

  • Ability to multi-task and meet tight deadlines.

  • Fully bilingual in English and Spanish; Portuguese is a plus.

  • Experience managing various admin activities across multiple accounts.

  • Grounded knowledge of business.

  • Experience in performance-based environments.

  • Strong attention to detail, problem-solving skills, and a detail-oriented mindset.

  • Experience working with multiple stakeholders.

  • Experience with tools such as Microsoft Office, Oracle, eVerify, etc.

Preferred Requirements:

  • I-9 processing experience

  • Office environment experience

  • Experience in large/global enterprise organizations
