About the Role
We’re looking for an Administration Specialist to join our team in Querétaro, Mexico. This is a junior-level role ideal for someone with a background in Accounting, Financial Administration, or a related field, who enjoys working with numbers, managing budgets, and building strong relationships with suppliers.
In this role, you’ll be responsible for controlling operational and fixed expenses, coordinating purchases and payments, generating reports and dashboards, and collaborating with key areas such as Finance, Human Resources, and Legal. You’ll also participate in monthly budget reviews and ensure smooth administrative processes that keep our operations running efficiently.
Job Description
What You’ll Do
- Budget Control: Plan and prepare biweekly expenses; participate in monthly budget reviews with Finance.
- Purchases & Payments: Request quotes, make purchases (online and in-person), contract services, and maintain a positive relationship with suppliers.
- Expense Management: Categorize and analyze operational and fixed expenses; manage corporate cards (Bancomer and others); control travel expenses and apartment leases.
- Reporting & Dashboards: Create financial and administrative reports, dashboards, and reconciliations to support decision-making.
- Cross-Department Collaboration: Work closely with Finance, HR, and Legal to ensure information is accurate, updated, and easily accessible.
Qualifications
What We’re Looking For
Education & Experience
- Bachelor’s degree in Accounting, Financial Administration, or a related field.
- Basic knowledge of accounting principles and SAT processes.
- Experience in expense management, budget tracking, and supplier coordination.
Technical Skills
- Advanced Excel skills.
- Ability to create dashboards and perform reconciliations.
- Intermediate–Advanced English (written and spoken).
Soft Skills
- Proactive, dynamic, and adaptable.
- Strong communication and social skills.
- Analytical thinking and attention to detail.
- Problem-solving skills and ability to work under pressure.
