HR Operations Assistant
Position Summary:
Provide administrative support to the Human Resources team across a wide range of HR functions in the U.S. and Canada. This role supports the day-to-day operations of the department through coordination of reporting, documentation,scheduling, and general process support. The HR Operations Assistant plays a critical role in ensuring accurate data management, smooth internal workflows, and timely response to HR-related requests. The ideal candidate is highly organized,
detail-oriented, and committed to delivering high-quality administrative support in a fast-paced, team-oriented environment.
Responsibilities include, but not limited to the following:
- Perform a variety of administrative HR tasks to support day-to-day department operations across multiple functionalareas.
- Monitor shared HR mailboxes and fax lines; respond to or route inquiries appropriately.
- Manage invoice processing including submission, coding, tracking, accruals, and vendor follow-up.
- Maintain and update key internal tools such as organizational charts, HR team PTO calendar, travel trackers, and other HR trackers.
- Coordinate onboarding logistics, including scheduling team introductions and preparing welcome materials.
- Generate standard employee communications using mail merge, including wage change letters, commission letters, and employment verification letters.
- Assist in preparing and processing Personnel Action Forms (PAFs) and related trackers (PAFTs).

Support the preparation and distribution of regular HR reports, including U.S. and Canadian Retail Census Reports, NCSA Turnover Reports, and E# Census Reports
Liaise with external vendors on administrative matters such as labor law postings and training platform support;troubleshoot issues as needed. - Create employee recognition materials such as service award certificates
- Support compliance efforts by ensuring internal postings and documentation meet current regulatory standards.
- Provide backup support for other HR administrative tasks and contribute to ongoing projects and initiatives.
- Maintain confidentiality and handle sensitive employee data in compliance with company policies and privacy standardsAssist with ad hoc HR projects and initiatives as required.
Qualifications:
- Bachelor’s degree in Human Resources, Business Administration, Psychology, or a related field.
- Excellent interpersonal, verbal, and written communication skills in English.
- Strong organizational, time management, and follow-up skills, with the ability to manage multiple tasks in a fast-paced environment.
- Exceptional attention to detail and a high level of accuracy in work.
- Demonstrated ability to build strong working relationships and provide high-quality customer service.
- Ability to handle confidential information with discretion and professionalism.
- Comfortable interacting with employees at all levels of the organization.
- Proficiency in Microsoft Excel, Word, and PowerPoint.
- Quick to learn and adapt to new systems and technologies.
- Knowledge of US employment laws and HR best practices is a plus.
- At least 1 year of experience in a Human Resources support role is preferred.
