Position Summary:
Provide administrative and operational support to the Talent Manager’s and Senior Director Human Resources, North America.As a member of the Human Resources team, the Talent Assistant will also support posting open positions through the applicant tracking system for Corporate & Retail US and Canada, and administrative support with the Retail Employee Life Cycle.
Responsibilities include, but not limited to the following:
- Prepare recruitment materials and post job openings to relevant job boards, applicant tracking systems, and other appropriate platforms.
- Draft offer letters and assist with the new hire onboarding process.
- Coordinate and process candidate background checks.
- Notify the HR Business Partner of any discrepancies identified in background checks.
- In partnership with the HR Business Partner, issue Pre-Adverse and Adverse Action letters when necessary.
- Initiate new hire paperwork via DocuSign and ensure compliance with I-9 verificationrequirements.
- Assist with IT setup for Corporate new hires based on role specifications.
- Provide administrative support such as scheduling interviews (in-person and virtual), managing conference/video calls, and tracking candidate activity.
- Prepare documents for HRIS entry (PAFs) and support SAP data entry as needed.
- Contribute to the maintenance and reporting of talent metrics and dashboards.
- Assist with ad hoc HR projects and initiatives as required.
Qualifications:
- Bachelor’s degree in Human Resources, Business Administration, Psychology, or a related field.
- Excellent interpersonal, verbal, and written communication skills in English.
- Strong organizational, time management, and follow-up skills, with the ability to manage multiple tasks in a fast-paced environment.
- Exceptional attention to detail and a high level of accuracy in work.
- Demonstrated ability to build strong working relationships and provide high-quality customer service.
- Ability to handle confidential information with discretion and professionalism.
- Comfortable interacting with employees at all levels of the organization.
- Proficiency in Microsoft Excel, Word, and PowerPoint.
- Quick to learn and adapt to new systems and technologies.
- Knowledge of employment laws and HR best practices is a plus.
- At least 1 year of experience in a Human Resources support role is preferred.
