The Role
We’re seeking a dynamic, boundary-pushing professional to serve as the Executive Assistant for our head litigator. Think of this role less as a traditional assistant and more as the “manager-in-chief” for a legal rock star: you’ll structure his day, steer priorities, and ensure every commitment—virtual meeting, strategic initiative, or unexpected opportunity—gets the attention it deserves.
Key Responsibilities
- Daily Accountability & Planning: Kick off each morning with Luis to review his top priorities (“Good morning, Luis—here are your top 3 projects; which shall we tackle first?”) and guide him through the day.
- Virtual Meeting Support: Attend every virtual meeting with Luis, capture action items and time entries, and immediately circulate concise debriefs to internal stakeholders (marketing, paralegals, co-counsel).
- Email & Calendar Mastery: Manage all inbound communications—identify urgent matters, filter distractions, and respond on his behalf when appropriate. Coordinate his calendar to reflect firm priorities and personal well-being.
- Project Ownership: Serve as the central point of contact for Luis’s team—track deadlines, escalate roadblocks, and proactively surface opportunities (speaking engagements, media requests, client outreach).
- Travel & Logistics: Book flights, lodging, and ground transport for in-person events (including speaking tours and conferences). Prepare detailed itineraries and post-trip expense reconciliations.
- Personal Touches: Arrange meals, order UberEats, or secure the ideal focus-friendly workspace—whatever keeps Luis energized and on mission.
What We’re Looking For
- Strong Personality & Presence: You know when to challenge a brilliant strategist and when to rally behind them. You earn trust by delivering results—firmly, respectfully, and with a bit of flair.
- Obsessive Organizer: You love lists, calendars, and workflows—and you can wrangle a brilliant but impulsive mind into a strategic plan.
- Communication Ninja: Exceptional written and verbal skills in English (Spanish a plus). You can draft a concise client update, push back diplomatically on scope creep, or debrief a hearing in real time.
- Tech-Savvy: Comfortable with Microsoft Teams, case-management platforms, Google Workspace, social media channels, and other tools.
- Sense of Humor: You know humor fuels resilience.
