Job Summary:
We are seeking a detail-oriented and dependable Payroll Assistant to support our growing home health care team. The Payroll Assistant will be responsible for processing payroll for home health aides, ensuring accuracy and compliance with all wage, hour, and healthcare regulations. The ideal candidate will be organized, responsive, and experienced in handling high-volume caregiver payroll in a fast-paced environment.
Key Responsibilities:Payroll Processing:
- Accurately collect, verify, and process timesheets for home health aides across multiple clients and shifts
- Ensure proper pay rates, overtime, and differentials (e.g., weekend/evening) are applied
- Review Electronic Visit Verification (EVV) data and resolve discrepancies prior to payroll submission
- Process payroll on a weekly/biweekly basis using [insert payroll system—e.g., ADP, Paycom, HHAeXchange, ClearCare]
- Assist in managing garnishments, benefits deductions, and tax withholdings
Compliance & Documentation:
- Maintain up-to-date employee records in accordance with HIPAA and labor laws
- Ensure compliance with state/federal wage laws and Medicaid billing requirements
- Assist with year-end reporting, including W-2s and ACA documentation
- Support audits by preparing payroll reports and employee files as needed
Employee Support:
- Respond to employee inquiries regarding paychecks, timesheets, and payroll deductions
- Support onboarding payroll setup for new hires
- Work with HR to address issues related to PTO, sick leave, and schedule changes
Qualifications:
- High school diploma or equivalent required; associate’s or bachelor’s degree preferred
- 1–2 years of payroll experience, preferably in healthcare or home care services
- Familiarity with EVV systems and Medicaid billing procedures a strong plus
- Experience with payroll software such as ADP, Paycom, HHAeXchange, or ClearCare
- Proficient in Microsoft Excel and data entry
- Strong attention to detail and confidentiality
- Excellent organizational and time management skills
- Bilingual (e.g., English/Spanish) required!

Pay: $18,000.00 per month
