Operations and Logistics Administrator
(Temporary Vacancy - Maternity leave coverage)
Position Overview
We are seeking a proactive and detail-oriented Operations Administrator to join our team temporarily, covering a maternity leave. The ideal candidate will possess strong analytical skills, attention to detail, and the ability to manage multiple tasks effectively in a dynamic environment.
This position is key to assisting in the coordination of various administrative and operational activities, including facilities management, financial review, general administration, and logistics coordination.
Responsibilities
Facilities and Personnel Management:
- Coordinate employee meal supply
- Oversee general equipment (Safety equipment, uniform, etc.)
- Register attendance records, vacation requests, and meal surveys.
Financial Review and Control:
- Follow up with NEF Finance on payments for transportation services.
- Register, monitor, and manage transportation invoices through to payment completion,
- Maintaining expense records, tracking all expenses for budgeting purposes.
- Creation of the sales Mexican invoices through invoicing software.
Logistics and Customs Coordination:
- Follow up on import processes (from customs clearance to delivery) for ocean, land, and air shipments.
- Facilitate the completion of "Carta Porte" forms and complete required documentation for import/export activities (IGI reports, virtual Pedimentos, freight reports).
- Participate in weekly operations meetings to present the status of shipments with the primary team (Meetings in English).
Procurement Management:
- Track and record purchases of supplies (stationery, boxes, bags, etc.).
- Manage the search and evaluation of suppliers to optimize costs and services (office, cleaning, cafeteria, labels, land transportation).
- Coordinate the approval and submission of invoices for payments.
- Track internal consumables and ongoing projects, ensuring objectives achievement.
Requirements:
- Bachelor's degree in business administration, logistics, or a related field; additional certifications in project management or supply chain management are advantageous.
- Experience in administration or a similar role.
- English Proficiency: Advanced-intermediate to advanced level, both spoken and written (fluency required).
- Excellent organizational and time management abilities, with the capability to prioritize tasks effectively.
- Proficiency in using Microsoft Office Suite and experience with ERP systems or other relevant software applications.
- Effective communication skills, both verbal and written, with the ability to collaborate with cross-functional teams.
- Detail-oriented approach with a focus on accuracy.
